Plain English summary: We collect your name, email, and delivery address to fulfil your order. We don't sell your data, we don't use it for advertising, and we delete it when we no longer need it.

Who we are

Vowelle provides bespoke wedding stationery and seating chart printing services. We are the data controller for the personal information we hold about you.

What data we collect

When you place an order we collect:

  • Your name and email address
  • Your delivery address
  • Your seating chart data — couple names, date, venue, guest names, and table assignments
  • Payment information — processed securely by Stripe. We never see or store your card details.
  • Order history and correspondence

When you visit our website we may collect standard server logs including your IP address, browser type, and pages visited. We use this only for security and to diagnose technical issues.

How we use your data

  • To process and fulfil your order
  • To send you order confirmation, dispatch notification, and tracking information
  • To respond to your enquiries and resolve complaints
  • To comply with our legal obligations (including tax records)

We do not use your data for marketing unless you have separately opted in. We do not sell your data to third parties under any circumstances.

Who we share data with

To fulfil your order we share necessary data with the following trusted third parties:

  • Stripe — payment processing (UK/EU data)
  • Prodigi / Gelato — print fulfilment (your name, delivery address, and chart PDF)
  • Resend — transactional email delivery
  • Railway / Supabase — hosting and database (UK/EU infrastructure)
  • Cloudflare — PDF storage and CDN

All processors are contractually bound to handle your data in compliance with UK GDPR.

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data (subject to legal retention requirements)
  • Object to processing or request restriction
  • Data portability — receive your data in a machine-readable format
  • Lodge a complaint with the ICO (ico.org.uk)

To exercise any of these rights, email hello@vowelle.co.uk. We will respond within 30 days.

How long we keep data

We retain order records (name, address, order details) for 7 years to comply with HMRC requirements. Your seating chart data (guest names) is deleted after 90 days from dispatch. Email correspondence is retained for 2 years.

Cookies

Our website uses only essential cookies required for the site to function (session state, payment processing). We do not use advertising or tracking cookies, and we do not use Google Analytics or any third-party analytics service.

We may update this policy from time to time. Significant changes will be communicated by email if you have an active order. The latest version is always available at this page.

Key points: All prints are made to order. You confirm your chart at checkout. We cannot accept returns for personalised items unless faulty. You have a 2-hour cancellation window after ordering.

1. About us

Vowelle ("we", "us", "our") operates vowelle.co.uk. These terms govern all orders placed through vowelle.co.uk.

2. Your order

By ticking the confirmation checkbox at checkout and placing your order, you confirm that you have reviewed your seating chart in full — including all guest names, table assignments, couple names, and date — and that the information is correct.

Your order is accepted when we send you an order confirmation email. We reserve the right to decline orders at our discretion.

3. Personalised products and returns

All products are personalised to your specification and are therefore exempt from the standard 14-day right of return under the Consumer Contracts Regulations 2013 (Regulation 28(1)(b)).

We will, however, offer a free reprint or full refund if:

  • Your print arrives damaged or faulty
  • There is a printing error caused by us (not a content error in your submitted data)
  • Your order does not arrive within the expected delivery window

To raise a quality issue, email hello@vowelle.co.uk with a photo within 14 days of delivery.

4. Cancellation window

You may cancel your order within 2 hours of payment by emailing hello@vowelle.co.uk or using the cancellation link in your confirmation email. After this window, your order will have entered production and cannot be cancelled.

Refunds for cancelled orders are processed within 5–10 business days to your original payment method.

5. Delivery

Estimated delivery times are indicative and not guaranteed. We are not liable for delays caused by our print partners or couriers outside our reasonable control. If your order is significantly delayed, contact us and we will investigate and resolve it.

Risk of loss passes to you when the order is handed to the courier.

6. Intellectual property

Our template designs are our intellectual property. By placing an order you confirm that any images or content you upload are either your own or that you have the right to use them for this purpose. We accept no liability for third-party IP claims arising from customer-supplied content.

7. Limitation of liability

Our liability to you is limited to the value of your order. We are not liable for indirect or consequential losses. Nothing in these terms affects your statutory rights as a UK consumer.

8. Governing law

These terms are governed by English law. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.

Ordering & design

Choose a template, customise your guest list and details in the editor, then head to checkout to choose your size and delivery. Once you confirm your chart and pay, your order goes straight to print. You'll receive a confirmation email with a PDF copy attached, and a dispatch email with tracking once it ships.
You have a 2-hour window after payment to cancel your order — email hello@vowelle.co.uk as soon as possible. After that, your chart has entered production and changes cannot be made. This is why we ask you to carefully review the live preview before confirming at checkout.
Our A3 template comfortably handles up to 12 tables. For larger guest lists, choose A2 (up to 20 tables) or A1 for large format display. The layout adapts automatically — just keep adding tables and the preview will show you exactly how it looks.
Yes — the editor has an image upload section. You can add a JPEG or PNG (max 5MB), then position it at the top, middle, or bottom of the chart, and control the size and opacity. Great for adding a venue illustration, monogram, or crest.
Yes. Table numbers and welcome signs are printed in your chosen theme and colour palette. They're designed as a coordinated suite — the typography and colours match across every piece.

Printing & quality

Seating charts are printed on rigid 5mm KAPA tex foamboard — lightweight, durable, and ready to display on an easel or lean against a wall. The print uses archival giclée inks for sharp, vibrant results.
Colour accuracy is very high — we use calibrated giclée printing with pigment-based archival inks. Screens vary, so there may be very slight differences, but the output closely matches what you see in the preview. If you're concerned, order a test print before your wedding date.
A4 prints ship flat in a rigid-backed envelope. A3 and larger ship in a sturdy cardboard tube to prevent damage in transit. All packaging is plastic-free and white-label — your order arrives unbranded.

Delivery

Standard delivery takes around 4 working days. Express delivery is available at checkout for 3-day delivery.
We recommend ordering at least 10 working days before your wedding to allow for production, delivery, and any unforeseen delays. For complete peace of mind, 3–4 weeks ahead is ideal. We cannot rush orders that are placed too close to the date.
Yes — we ship worldwide. Orders outside the UK are fulfilled from the nearest print facility to your delivery address, which keeps shipping times and costs competitive. International delivery times vary by destination, typically 5–10 working days.

Problems & returns

Email hello@vowelle.co.uk with a photo of the damage within 14 days of delivery. We'll arrange a free reprint and priority dispatch immediately — no forms, no fuss. Damage in transit is covered under our print partner's guarantee.
If you're within the 2-hour cancellation window, email us immediately and we'll stop the order. Outside that window, your chart is already on press and we're unable to make changes. This is why we ask you to carefully check the preview before confirming — the live editor shows exactly what will print.
As a personalised product, seating charts are exempt from the standard 14-day return right under UK consumer law. We cannot accept returns for change of mind once an order has been printed. If there's a quality issue, we'll always make it right.
